All participating food vendors must have a valid Permit from the County of Riverside Department of Environmental Health, City of Riverside Business Tax Certificate, and Liability Insurance ($1m/$1mAggr.).  All requirements must be provided at least 30 days prior to the event in order to guarantee a spot at the festival.

x Deadline to submit form and payment is October 14, 2019 - no exceptions

× Form will not be processed if payment is not received.

× Submitting a form, without payment, does not guarantee a booth until payment is received.

× Booths are assigned in the order forms are received. The best are not saved for last.

× Booth space is approximately 10x10 feet and includes one 6ft table and two chairs. The event will be held outdoors: bring your own canopy/EZ Up

× Electricity is available upon request on a first come first serve. Make sure to contact Daisy Quiroz for arrangements.  

× Halloween attire/decor is highly encouraged!

× Event location - Main St, Riverside, CA 92501 (Outside City Hall between University Ave and 10th St)

× Event starts at 11am, arrive by 10am for setup.

x Free street parking is available all day.

2019 Fall Festival Booth Rules and Agreement
Booth InformationPlatinum, Gold, and Silver Sponsorships include a booth space of about 20’x20’ which includes 2 6ft tables and 4 chairs.  Bronze sponsorships and all other non-sponsorship booths include a booth space of about 10’x10’ which includes one (1) 6ft rectangular table and 2 chairs. Event will be outdoors, canopies
are not provided but are allowed and highly encouraged.


Multiple BoothsIn the case that you need additional space for activities or display purposes, exhibitors may purchase additional booth space, at the current rate of $40 per booth space, unless exempt from fees. Please contact Daisy Quiroz at dquiroz@inlandrc.org or 909-382-4696 for inquiries. Booths may not be shared
with another company.


Exhibit Booth Set UpEvent is from 11am to 2pm.  Exhibits may be installed on Sunday October 27, 2019 beginning at 9am.  Exhibitors shall arrange their exhibits so that they do not obstruct other exhibits. Aisles must be kept clear. Safety exits and equipment must be left clear and accessible. To keep with the theme of the event, exhibitors are encouraged to dress up in Halloween attire and implement this theme into their exhibits and activities as well.

ElectricityIn the case that your exhibit requires the use of electricity, it is available on a first come first serve.  However, spaces are limited. Please contact Daisy Quiroz at dquiroz@inlandrc.org or 909-382-4696 for inquiries and arrangements. Generators are not allowed on the exhibitor area.


Exhibit BreakdownThe breakdown of the exhibits shall begin on Sunday October 27, 2019 beginning at 2pm and conclude no later than 4pm.

Contract for SpaceThe last day to register as a sponsor is Friday September 27, 2019. The last day to register as an nonsponsor exhibitor is Monday October 14, 2019. However, please note that applications will not be processed until sponsorship/booth fee check is received.


Space AssignmentSpace assignment is given according to sponsorship level and date of registration within that sponsorship level. All other exhibitors will be assigned a booth space according to date of registration, the best is not saved for last.


Booth/Sponsorship PaymentEach organization must submit a check payment to cover the amount sponsored. Only checks are being accepted at this time.

ParkingThere will be plenty of free public parking available on and around the location of the event. There will not be any special accommodations as there is no public space that would allow.


FoodFood will not be provided for exhibitors. Each exhibitor is responsible for purchasing their own meals.  Food vendors will be available throughout the event as well as other restaurants around City Hall.


Exhibitor’s ResponsibilitiesIRC is not responsible for damage to materials, materials improperly packed, glass or decor breakage.  IRC is not responsible for loss or disappearance of the exhibitor’s materials, products, or decorative items.

Insurance LiabilityExhibitor agrees to protect, save and keep IRC and the City of Riverside forever harmless from any damages or charges imposed for violation of any law or ordinance occasioned by negligence of the exhibitor, as well as to comply strictly with the applicable terms and conditions contained in the agreement between the City of Riverside and IRC regarding exhibition premises.  Furthermore, exhibitor shall at all times protect, indemnify, save, defend and hold harmless IRC and the
City of Riverside against and from any and all loss, costs (including attorney fees), damages, liability, or expenses arising from any accident or bodily injury or any other occurrence to anyone, including the exhibitor, its agents, employees, and business invitees, which arises from or out of or by reason of said
exhibitor’s occupancy and use of the exhibition premises.  Additionally, IRC shall not be responsible for any loss, damage, or delay due to strikes, lockouts, Acts of God, governmental restrictions, enemy action, civil commotion, unavoidable casualty beyond the control of IRC.

Exhibitor’s PropertyIRC and the City of Riverside cannot assume responsibility for the safety of the property of the Exhibitor,
its representatives, or employees from theft, damage by fire, accident or other causes, but will use all
reasonable care to protect them against such loss. In all cases, occupants wishing to insure their
property must do so at their own expense. It is recommended that all occupants have representatives in
attendance at all times when exhibits are being set up or dismantled, to protect against loss.
